How do I work out the cost of no-shows?+
Multiply your appointments per week by your no-show rate to get missed appointments per week, then multiply by your average appointment price and by the number of weeks you work in a year. For example, 60 appointments a week at £40 with a 5% no-show rate over 48 weeks is 144 missed appointments, or £5,760 a year.
How do I find my no-show rate?+
Count the appointments where the client did not turn up and did not cancel in time over the last few months, and divide by the total number of appointments in the same period. Your booking system should be able to show no-shows as a status so you can count them.
Do deposits stop no-shows?+
A deposit means a client who does not turn up has already paid part of the price, so you are covered for at least that amount. Clients who have paid something up front are also more likely to turn up or cancel properly. Take the deposit at the moment of booking so it is automatic.
What else reduces no-shows?+
Automatic reminders by email or text the day before, an easy way for clients to cancel or reschedule online, a clear cancellation policy shown before booking, and a deposit or card on file for longer or high-value appointments.
