Customise confirmation and reminder emails

Change the wording of the emails customers get when they book and before their appointment.

What these emails are

All are sent automatically with Bookwick wording until you change them. When a customer cancels or moves their own booking, you are emailed too.

Booking confirmation
Sent to the customer as soon as they book.
Appointment reminder
Sent to the customer about 24 hours before their appointment.
Booking moved
Sent to the customer when their booking is moved to a new time.
Booking cancelled
Sent to the customer when their booking is cancelled or declined, by you or by them.

Change the wording

  1. Step 1: Open Message templates and click Edit on the email.
  2. Step 2: Change the Subject and Message.
  3. Step 3: Add booking details using the tokens listed under Insert (see below).
  4. Step 4: Click Save. The card now shows Customised.

Tip: Changed your mind? Click Edit, then Reset to default.

Tokens you can use

Type these exactly, including the double curly brackets. They are swapped for the real details when the email is sent.

{{customer_name}}
The customer's name.
{{business_name}}
Your business name.
{{service_name}}
The service they booked.
{{staff_name}}
Who the appointment is with.
{{appointment_time}}
Date and time, for example "Monday 5 October 2026, 14:30".
{{manage_url}}
A link where the customer can view, reschedule or cancel.

Good to know: A misspelt token is sent exactly as typed, so check your spelling.

Stop sending one of these emails

  1. Step 1: Click Edit on the email.
  2. Step 2: Untick Enabled and click Save. The card shows Off and that email is no longer sent.

Tip: Sending your own version from a workflow instead? Turn the matching email off here so customers do not get two.
