Cancellation policy generator for appointments
A cancellation policy tells clients how much notice to give, what happens if they cancel late or do not turn up, and how deposits work. Choose your rules below and copy a plain-English policy for your booking page, website and confirmation emails.

Your policy
Cancellation policy When you book, we keep that time just for you. If you cannot make it, please let us know at least 24 hours before your appointment so we can offer the slot to someone else. Late cancellations: if you cancel or reschedule with less than 24 hours' notice, a fee of 50% of the appointment price applies. Missed appointments: if you do not attend and have not told us, the full price of the appointment is charged. Running late: please let us know. If you arrive more than 15 minutes late, we may need to shorten your appointment so the next client is not kept waiting, or treat it as a missed appointment. The full price still applies. How to cancel or reschedule: use the link in your booking confirmation email. By booking, you agree to this policy. Thank you for understanding: it helps us keep our prices fair for everyone.
A template to adapt, not legal advice. In the UK, fees must be fair, in proportion to what you lose and shown to clients before they book (Consumer Rights Act 2015). Add it to your booking page description and confirmation emails. On Bookwick Pro, deposits are taken automatically when clients book.
Questions
What should a cancellation policy include?+
How much notice clients must give to cancel or reschedule, any fee for late cancellations, any fee for no-shows, whether a deposit is taken and when it is refunded, how late a client can be before the appointment is shortened or cancelled, and how to cancel.
Can I charge a no-show fee in the UK?+
Generally yes, if the fee is fair, proportionate to what you actually lose, and clearly shown to the client before they book. Under the Consumer Rights Act 2015, terms that are unfair to consumers are not binding, so a fee far above the price of the appointment is risky. This is general information, not legal advice.
How much notice should clients give to cancel?+
Most appointment businesses ask for 24 or 48 hours, which is usually enough time to offer the slot to someone else. Longer appointments, such as colour treatments or tattoos, often use 48 or 72 hours.
Where should I show my cancellation policy?+
Show it on your booking page before the client confirms, in the booking confirmation email and on your website. Clients should agree to it before they book, not find out afterwards.
