Find bookings and understand statuses
Search and filter your appointments, record what happened, and what each status means.
Find a booking
- Step 1: Open Appointments.
- Step 2: Type a customer name, email, phone number or service into the search box.
- Step 3: Narrow it down with the date filter (Upcoming, Today, Next 7 days or Last 30 days), the staff filter and the status filter.
Tip: To see everything a customer has booked, open their record in Customers.
Confirm a booking, or record what happened
- Step 1: In Appointments, open the Change… list next to the booking's status. Or click the booking on the Calendar and use the buttons under its details.
- Step 2: Choose Confirm, Mark completed, Mark no-show or Decline.
- Step 3: Marked the wrong one? Click Undo in the message, or change it again.
- Mark completed and Mark no-show appear once the appointment has started.
- Decline frees the time and emails the customer that the booking is cancelled.
- Your no-show rate in Reports comes from bookings marked No-show.
What the statuses mean
- Pending
- A live booking. New bookings, whether made online or by you, start here. The time is held.
- Confirmed
- A live booking you have confirmed. The time is held.
- Completed
- The appointment went ahead.
- No-show
- The customer did not turn up.
- Declined
- You turned the booking down. The time is free again.
- Cancelled
- Cancelled by you or the customer. The time is free again.
